Cancellation policy
Cancellation decisions :
The first decision to cancel the event, notably for weather or safety reasons, may be taken by the ski centers. The Pediatric Research Foundation will respect these decisions and adapt to the rules in force at each center to ensure the safety of all participants.
Cancellation and postponement conditions :
The safety and well-being of participants is paramount to the Pediatric Research Foundation. Cancellation and postponement conditions are established to ensure a safe and enjoyable experience for all.
Cancellation policy :
Ski Centre decision: The decision to cancel the event may be taken by the ski centers (Ski Garceau and Owls Head) in the event of unfavourable weather conditions or for safety reasons.
Notification to participants :
In the event of cancellation, participants will be informed as soon as possible via the event's official communication channels (email, website, social networks).
Refund policy :
There is no registration fee for the Alpine Challenge. Instead, participation is conditional on a minimum fundraising amount of $250. That said, in the event of cancellation, no donations will be reimbursed. Donations will not be refunded. Should it prove impossible to hold the event in the proposed format, the FRP will make every effort to offer participants an alternative.
Exceptions: No exceptions to this non-refund policy will be made except in exceptional circumstances deemed by the Foundation.
Cancellation options :
Postponement: If the event is cancelled at Ski Garceau on February 22, 2025, registered participants will be invited to take part in the Alpine Challenge at Owls Head on March 22, 2025, under the same conditions. If the event is cancelled at Owls Head on March 22, 2025, participants will be invited to the following year's event at no additional cost.
Communication of new dates :
Information on new dates and rescheduling arrangements will be sent to registered participants as soon as they become available.
Safety conditions and risk assessment :
The Foundation, in collaboration with the ski centers, will constantly assess conditions to ensure the safety of the event. All decisions to cancel or postpone will be taken with the safety of participants as the top priority.
Force majeure :
The Pediatric Research Foundation recognizes that unpredictable and out-of-control events can occur, affecting the ability to complete the Alpine Challenge as planned.
Definition of Force Majeure :
Events Included: Force majeure is any event beyond the control of the parties involved, such as natural disasters, acts of war, epidemics, government decisions or public restrictions that make it impossible or dangerous to carry out the event.
Notification: The Pediatric Research Foundation must inform participants, partners and sponsors as soon as possible in the event of a force majeure event.
Consequences of force majeure :
Suspension of obligations: In the event of force majeure, the obligations of the Pediatric Research Foundation, including the holding of the event, may be suspended for the duration of the disruptive event.
No liability for non-performance: the Pediatric Research Foundation will not be held liable for non-performance of its obligations if such non-performance is due to force majeure.
Resolution of the effects of force majeure :
Evaluation and adaptation: The Foundation will evaluate the impact of the force majeure event and seek solutions to minimize the effects on the event and its participants.
Postponement or cancellation: If the event has to be cancelled or postponed due to force majeure, participants will be informed of the procedures to be followed and the arrangements made for future participation.
